Job Title: Business Development Coordinator

Job Brief
- The Business Development Coordinator will play a key role in supporting the company’s growth by identifying new opportunities, leading proposal and grant development and submission, and strengthening our overall market presence.
- This role is responsible for tracking and pursuing RFPs and funding opportunities, coordinating high-quality submissions, and supporting client and stakeholder engagement.
- The coordinator will also contribute to the development and maintenance of the company’s website and digital materials, ensuring consistent and compelling messaging across all platforms.
- Working closely with internal teams, the coordinator will apply strong project management skills to manage deadlines, streamline processes, and position the company for successful project pursuits and long-term growth.
Key Responsibilities
- Research and identify new business opportunities, including grants, funding programs, and procurement postings
- Assist with business plan development
- Monitor and track relevantRFPs, RFQs, and tenders
- Maintain and update an opportunity pipeline, including deadlines, requirements, and win strategies for priority pursuits
- Lead the preparation and submission of grant applications, RFP responses, and proposals
- Draft compelling narratives, executive summaries, and supporting documentation
- Ensure all submissions are compliant with requirements, timelines, and evaluation criteria
- Coordinate internal inputs (technical, financial, architecture, engineering) into cohesive, high-quality submissions
- Assist in preparing pitch materials, presentations, and client-facing documentation
- Track competitor activity, market trends, and insights – report onmarket trends, procurement patterns, and competitor positioning
- Schedule and coordinate meetings, introductions, and business development touchpoints
- Apply project management principles to track proposal timelines, deliverables, and responsibilities
- Maintain internal trackers for submissions, deadlines, and progress updates
- Coordinate cross-functional teams to ensure timely and efficient execution of deliverables
- Support post-submission activities, including debriefs and lessons learned
- Lead the maintenance of the company website, including content updates and structure
- Translate business development objectives into clear, compelling website content (services, projects, messaging)
- Ensure brand consistency across website, proposals, and external materials
- Support creation of digital assets including brochures, one-pagers, and presentations
- Ensure consistency, quality control, and version management across all deliverables
Education and Experience
- Minimum 2+ years experience in business development and management, proposals, grant writing, communications, procurement support, business administration or related fields
- Familiarity and experience with general office procedures; proficiency in Microsoft Office (Word, PowerPoint, Outlook, Excel) and design tools such as Canva
- Highly developed problem-solving, and planning skills.
- Strong written and verbal communication skills with a customer service mindset.
- Proven ability to write quality correspondence, reports, briefing notes and other written material
- Demonstrated self-starter, capable of identifying the need for independent action, while valuing and developing cooperative working relationships.
- Excellent organizational skills, attention to detail, and ability to manage multiple tasks and deadlines.
- Comfortable working independently in a predominantly remote environment and occasionally traveling for events.
